Register for an event, manage your digital pass, update your details, and check in smoothly.

Registering for an Event

Your organizer will send you an event link. Open it to see the event details, available ticket options, and any questions the organizer wants you to answer.

  • Enter your name.
  • Add an email address, phone number, or both.
  • Answer any event questions.
  • Choose your ticket option.
  • Submit the form.

You must provide at least one way to contact you: email or phone. If the event asks for group details, choose the most specific option that applies to you.

If registration is closed, you will not be able to submit a new registration. If you already registered, you can still use your registration code to update your details from the event page.

Choosing a Ticket

Some ticket options have limited spaces. If a ticket is full, you will not be able to choose it for a new registration.

If you are updating a registration you already made, you may be able to keep your current ticket even if it is now full. You will not be able to switch to another ticket that is full.

Confirmation Messages

After a successful registration, Formbrid creates a registration code for you and opens your digital pass.

If you entered an email address, you should receive a confirmation email with your registration code, QR code, event link, and pass link.

If you entered a phone number, you may receive a confirmation SMS with your registration code and pass link.

Keep your registration code safe. You may need it later to update your details.

Your Digital Pass

After registering, Formbrid creates a registration code for you and opens your digital pass. Keep your registration code safe because you may need it later to update your details.

Your pass may show:

  • the event name and date
  • your QR code and registration code
  • your name, email, phone number, and ticket
  • your group selections and event answers
  • souvenirs or items assigned to you
  • your check-in status when check-in is available

Bring your pass with you to the event. A volunteer may scan the QR code when you arrive.

If your pass says you are checked in but you have not arrived, ask an organizer or check-in volunteer to review your record.

Room Pairings

If the organizer enables room pairing, your pass shows a Room preferences section. Enter the registration code of someone you want to share a room with, then choose Add.

Formbrid can add the request only when:

  • both registrations are active and belong to the same event
  • both people selected the same ticket
  • everyone meets the organizer's payment rule: fully paid, or partially paid when the event permits it
  • everyone has the same gender under the event's default room rules
  • the whole group fits the ticket's room size
  • nobody is already assigned to another or full room

When the request succeeds, Formbrid creates a draft room for the group. Requests are shared through the group: if you add one person who already has an eligible roommate request, that person is included too. Everyone in the connected group sees the other members' names on their pass.

A group can never be larger than the room size on the ticket. When your room becomes full, your pass still shows the people in the group but hides the option to add anyone else. The organizer reviews draft rooms and publishes the final assignment.

Unpaid attendees cannot join a room pairing.

Keep your registration code private except when giving it to someone you trust to request a room with you. Contact the organizer if a displayed roommate is incorrect or you need the room assignment changed.

Checking In

A volunteer can scan your pass at the entrance. Open your pass and show the QR code to the check-in team.

If self check-in is available, your pass will show a button during the event. Tap it and scan the check-in QR code displayed at the venue.

Self check-in may not work if:

  • check-in has not been enabled by the organizer
  • it is too early
  • your registration has been cancelled
  • you are already checked in
  • you scanned the wrong event QR code

If your camera does not open, check browser camera permissions or ask a volunteer to scan your pass instead.

Boarding

Boarding is separate from event check-in. During the event dates, when boarding is open, choose Scan to Board on your pass and scan the boarding QR at the transport point. A representative can also scan the QR on your pass.

After a successful scan, your pass shows Boarded.

Updating Your Details

To update your registration, go back to the event page and choose "Already registered? Update your details". Enter your registration code, then update the details you need to change.

  • name, email, phone number, and gender
  • ticket, if another option is available
  • answers to event questions
  • group selections

You cannot update souvenir assignments yourself. Ask the organizer or group leader if something is wrong.

If you entered a new email address or phone number, future event messages may go to the updated contact details.

Communication Preferences

Some emails and SMS messages include a link to manage communication preferences. Use that link if you want to turn email or SMS messages on or off.

A preference option may be unavailable if your registration does not have that contact method. For example, SMS preferences require a phone number.

Common Questions

I did not receive a confirmation message.

Check your spam folder and make sure your phone number or email address was entered correctly. If you still cannot find it, contact the organizer.

I lost my registration code.

Look for the confirmation email or SMS. If you cannot find it, ask the organizer for help.

I need to cancel.

Contact the organizer. Attendees cannot cancel their own registration from the public form.

The ticket I want is not showing.

The organizer may have disabled it, or it may no longer have available spaces.

I chose the wrong group or answer.

Go back to the event page, choose "Already registered? Update your details", and enter your registration code.
